HR & Recruitment Coordinator Location: Har Tuv, Beit Shemesh (In-office) Hours: 10:00 AM
– 6:00 PM (Israel Hours) Ephoca is seeking a highly organized and detail-oriented HR & Recruitment Coordinator to support the operations of the Human Resources function across both Israel and North America, with a strong focus on recruitment, employee documentation, HR systems management, and employee engagement initiatives. This is an on-site role based in our office, Sunday through Thursday from 10:00 AM to 6:00 PM. The position supports full-cycle recruitment, onboarding and offboarding processes, payroll coordination, employee file management, and compliance documentation across multiple jurisdictions. The role includes ownership of applicant screening, interview coordination, recruitment tracking, and the implementation and ongoing optimization of our HRIS (Zoho). In addition, the position supports internal team-building initiatives, employee events, and recognition programs to strengthen engagement and company culture. This role requires operational precision, discretion, and strong follow-through in a fast-paced, growing environment, requiring both strong organizational skills and proactive communication. Key ResponsibilitiesHR Operations
• Assist in the development and implementation of HR policies and procedures.
• Prepare employment agreements, amendments, promotions, salary updates, and role change documentation in compliance with applicable labor laws.
• Coordinate onboarding processes to ensure employment documentation, system setup, and employee integration are completed accurately and timely.
• Support resignation and termination processes in accordance with company policy and applicable law.
• Ensure all employee status changes are properly documented and reflected in HR systems and payroll.
• Maintain accurate and organized employee files across Israel and North America with strict attention to confidentiality.
• Serve as a first point of contact for employee HR-related inquiries with professionalism and discretion.
• Assist in documenting performance matters and internal processes.
• Remain up to date with applicable labor regulations in relevant jurisdictions (U.S. and Israel required; additional regions a plus). Recruitment and Onboarding
• Develop and update job descriptions in collaboration with hiring managers.
• Manage job postings on relevant platforms and screen incoming applications.
• Review applications, conduct initial candidate interviews**, and align compensation expectations early in the process**.
• Coordinate interviews with department heads and maintain structured hiring workflows.
• Maintain recruitment tracking and candidate documentation within Zoho HRIS.
• Ensure a smooth, professional, and compliant candidate experience throughout the hiring process.
• Assist in the onboarding process to ensure new hires are properly documented and prepared. HRIS Implementation & Systems (Zoho)
• Support the implementation and ongoing management of Zoho HRIS.
• Build and maintain digital employee records within the system.
• Ensure accurate data entry for hires, salary changes, and employment status updates.
• Generate HR reports to support leadership visibility and workforce planning.
• Assist in structuring onboarding workflows and maintaining system accuracy. Payroll Liaison
• Act as a point of contact between HR and payroll.
• Ensure timely and accurate submission of payroll-related updates.
• Assist in resolving payroll discrepancies when necessary with urgency and attention to detail. Employee Engagement & Team Building
• Support the planning and coordination of team activities, training, and company events.
• Assist in organizing internal meetings, staff gatherings, and cross-department initiatives.
• Support employee recognition initiatives and internal communication efforts.
• Contribute to maintaining a positive, structured, and engaged workplace culture. Qualifications * 3+ years of experience in HR, recruiting, or talent management. * Proven success in sourcing and hiring across multiple departments or regions. * Strong understanding of employment law and compliance requirements. * Fluent in English both written and spoken. * Experience handling U.S.- based recruiting and HR processes preferred. * Excellent communication, organization, and follow-through. * Self-driven, professional, and comfortable handling confidential information.
